Privacy policy

Maxima Learning is operated by ML Education LLC, a Montana limited liability company.
Maxima Learning (“Maxima,” “we,” “us”) provides one-on-one online math tutoring for children in pre-K through 8th grade. This policy explains what information we collect when you use maximalearning.com and our tutoring platform, how we use it, and the choices you have. The short version: we collect what we need to teach your child and run your account, we don’t sell it, and we don’t show ads.
Children’s privacy
Our students are children, so we take this part seriously. Children do not create their own accounts. A parent or guardian creates the account and adds their child. When adding a child, the parent confirms they are the child’s parent or legal guardian and consents to our collecting and using the child’s information as described in this policy, and we then email the parent a confirmation that explains how to withdraw consent.
A visitor’s child can take our free placement test before a parent has an account. We ask only for the child’s grade, and we keep their answers under a random code stored in a cookie in that browser. Nothing is linked to the child’s name, and nothing is emailed, until a parent signs up and consents as described above. If no parent does so within 30 days, we delete the test.
We collect only what we need to teach. As a parent, you can at any time:
- review the information we hold about your child,
- ask us to correct or delete it, and
- tell us to stop collecting further information, which ends tutoring for that child.
Email hello@maximalearning.com and we’ll respond within 30 days. We never use children’s information for advertising, we never sell it, and we never share it with AI companies or use it to train AI models. We don’t condition a child’s participation on collecting more information than is reasonably needed to teach them.
What we collect
From parents
- Account details: your name, email address, and time zone. If you sign in with Google, we receive your name and email address from Google.
- Billing details: your plan and payment history. Card details are entered directly with our payment processor, Stripe. We never see or store your full card number.
- Messages: anything you send us by email or through the platform.
About students
- Profile: your child’s name, grade level, and any notes you choose to share with us.
- Learning records: placement and assessment results, practice-set answers, the topics covered in each session, tutor session notes, and the progress we measure over time.
- Scheduling: booked, completed, cancelled, and rescheduled sessions.
- Live sessions: sessions take place over live video and audio with a shared whiteboard. We do not record sessions, and video and audio are not stored. Whiteboard content is deleted automatically 30 days after the board was last used.
From tutors
Name, email address, time zone, availability, and the session notes and records tutors create while teaching.
From tutor applicants
What you enter on our tutor application: your name, email address, mobile number, state, age range, what you do now, and how you heard about us, along with how you first found our site (see below). We use it only to review your application and contact you about it. Applicants under 18 confirm that a parent or guardian knows they are applying.
Automatically
We use cookies that are necessary to keep you signed in and to secure your account. We also set one cookie of our own that remembers, for 30 days, how you first found our site: the page that linked you here, the first page you visited, and any campaign tag in that link. It helps us see which of our outreach is working. Our hosting provider keeps standard server logs, such as IP address, browser type, and pages requested, for security and troubleshooting. On our public pages only (not in the parent, student, or tutor areas), we use Vercel Web Analytics to count page views; it uses no cookies and doesn’t track you across other sites. We do not use advertising cookies or third-party tracking.
How we use it
- to place your child, plan their lessons, and teach them,
- to show you your child’s progress,
- to schedule sessions and send reminders,
- to review tutor applications,
- to bill you and manage your plan,
- to answer your questions and provide support,
- to improve our curriculum and teaching,
- to create de-identified, combined statistics about student progress (for example, the average number of topics students master), which we may publish, which never identify a child or family, and which we won’t try to link back to anyone, and
- to keep the service secure and meet our legal obligations.
Who we share it with
We do not sell or rent personal information. We share it only in these cases:
- Your child’s tutor sees their profile, learning records, and schedule so they can teach.
- Service providers that run parts of our platform for us, only for that purpose and under obligations to keep it confidential and secure:
- Clerk (sign-in and account security)
- Stripe (payments)
- Daily (live video and audio)
- Cloudflare (hosting for the shared whiteboard, built with tldraw software)
- Google (sign-in with Google, our company email, and video calls for consultations)
- Resend (email delivery)
- Vercel (website hosting and page-view counts on our public pages)
- Neon (database hosting)
- Legal reasons: when required by law, or to protect the safety of a child or anyone else.
- Business transfer: if Maxima is merged or acquired, your information would transfer under this policy, and we would notify you first.
How long we keep it
We keep information only as long as we need it for the purposes above:
- Your child’s profile and learning records: while your child is enrolled, so we can track their progress. If your child has had no plan and hasn’t used Maxima (sessions, tests, or practice) for 12 months, we delete their profile and learning records.
- Placement tests nobody signed up to claim: deleted after 30 days.
- Whiteboard content: deleted 30 days after the board was last used.
- Account details: while your account is open.
- Billing records: as long as tax and accounting laws require, generally seven years.
If you close your account or ask us to delete your child’s information, we delete it within 30 days, except billing records. Combined statistics we’ve already created aren’t affected, because they’re de-identified and can’t be traced back to your child.
Security
We maintain a written information security program for children’s information, with designated people responsible for it. Data is encrypted in transit. Access is limited to the people who need it: your child’s tutor and our staff. Live sessions are private, and only invited participants can join. No system is perfectly secure, but we work to protect your information, and we will notify you promptly if a breach affects it.
Your choices
You can update your account details at any time, and you can ask us for a copy of your information, corrections, or deletion by emailing hello@maximalearning.com. Depending on where you live, you may have additional rights under local law, such as the California Consumer Privacy Act. We honor those rights and will never treat you differently for using them.
Changes to this policy
If we make a material change, we’ll email account holders before it takes effect and update the date at the top of this page.
